Privacy policy

This policy explains what Milespand collects, why we collect it, who it is shared with, and what you can do about it. Milespand is a vehicle mileage and maintenance tracker operated by Field Lab Solutions LLC, a Texas limited liability company. Throughout this policy, "we" and "us" mean Field Lab Solutions LLC.

By creating an account you agree to this policy. If you do not agree, please do not sign up.

1. Information you give us

  • Account. An email address and a password. The password is stored only as a hash. We cannot read it, recover it or tell you what it is.
  • Vehicles. Whatever you choose to enter: a nickname, year, make, model, engine, and optionally a VIN. None of it is required beyond enough to tell one vehicle from another.
  • Mileage and service records. Odometer readings with their dates, the work you log, what it cost, where it was done, and any notes you write.
  • Photos. Pictures you take or upload of an odometer, a VIN plate, a receipt or a part.

2. About the VIN

A VIN identifies one specific vehicle and can be connected to registration and title records held elsewhere. For that reason it is optional here and it always will be. The app works without it. If you do enter one, we use it to look up your vehicle's factory specifications and to make the maintenance intervals more accurate. You can delete it at any time without deleting the vehicle or its history.

3. Information collected automatically

  • Server logs. Our host records the usual request information: IP address, browser, the page requested and the time. These are used to keep the site running and to investigate abuse.
  • Session cookie. One cookie that keeps you signed in. There are no advertising or analytics cookies set by us.

We do not use Google Analytics or any comparable tracking platform, and we do not run ad networks on this site.

4. How we use it

  • To run your account and show you your own records.
  • To work out when maintenance is due and to tell you about it.
  • To send you service email: confirming your address, resetting your password, and reminders you have asked for.
  • To find and stop abuse of the site.

We do not sell your information. We do not rent it, trade it, or hand it to data brokers, and we do not use it to build advertising profiles.

5. Outside services

Running the site means a small number of other companies touch some of your information.

  • Hostinger hosts the site and its database, so everything you store here sits on their servers.
  • NHTSA vPIC. If you enter a VIN, we send it to the United States National Highway Traffic Safety Administration's free vehicle decoding service to get back the year, make, model and engine. Nothing identifying you goes with it.
  • Our email sender. Confirmation, password and reminder email is handed to a mail provider for delivery, which means they process your address and the contents of that message.
  • Amazon. Some links to parts and supplies are Amazon Associates links. Following one takes you to Amazon, which sets its own cookies and records the referral. That activity is governed by Amazon's privacy notice, not this one. We receive only anonymous totals of clicks and orders, never who bought what.
  • Buy Me a Coffee. The donation link is an outbound link. If you donate, your name and payment details go to them and to their payment processor. We never see your card details.

We may also disclose information if the law requires it, or where it is necessary to protect our rights or someone's safety.

6. Affiliate disclosure

Field Lab Solutions LLC is a participant in the Amazon Services LLC Associates Program. As an Amazon Associate we earn from qualifying purchases. Some links on this site are affiliate links, which means we may receive a commission if you buy through them at no extra cost to you. This does not influence the maintenance intervals or the reminders you are shown.

7. How long we keep it

Your records stay until you delete them. Deleting a vehicle removes its readings, service history and photos. Deleting your account removes everything tied to it. Backups may hold copies for a short period after that, and server logs are kept on our host's own schedule.

8. Your choices

  • You can see and edit everything in your account at any time.
  • You can export your records.
  • You can delete a single reading, a vehicle, or the whole account.
  • You can turn off reminder email and keep the account.

Depending on where you live you may have further rights over your personal information, including the right to ask for a copy of it or to ask that it be corrected or erased. Write to the address in section 12 and we will handle it.

9. Security

The site is served over HTTPS, passwords are hashed, and uploaded photos are served only to the account they belong to. No system is perfectly secure, and we cannot promise that one never fails. Use a password you do not use anywhere else.

10. Children

Milespand is not intended for anyone under 18 and we do not knowingly collect information from children. If you believe a child has created an account, write to us and we will remove it.

11. Changes

When this policy changes we will update the date at the top of this page. If the change is significant we will say so in the app or by email.
